Terms and Conditions

These terms apply to rentals from Music City Touring Vans LLC, a Tennessee limited liability company operating from 915 6th Ave South, Nashville, TN 37203. They also apply to your use of musiccitytouringvans.com.

Please read them before you book. If anything here does not match what you were told, ask us before you sign. The signed rental contract you receive at pickup is the governing agreement for your rental, and if it ever conflicts with this page, the signed contract controls.

1. Booking And Availability

Rentals are handled on a first-come, first-served basis. Submitting a booking request or an inquiry does not reserve a vehicle. A reservation is confirmed only when we confirm it to you, and the deposit is placed.

We do not guarantee that a specific vehicle will be available on your dates. If the vehicle you requested becomes unavailable, we will tell you as soon as we know and offer an alternative where we have one.

2. Minimum Rental Period

All rentals have a three-day minimum. There is no maximum. Rentals of one month or longer are quoted under our Long Term Rental Discounts, which are published at one, two, and three months. Longer commitments are handled through a written sublease contract.

3. Rates, Taxes, And Fees

The rate shown on our fleet page is the rate you pay, plus Tennessee sales and rental tax. Long-term and sublease rates are quoted directly.

We do not charge for mileage. Ever. There is no daily mileage cap and no per-mile overage charge, on any rental of any length.

Rates are subject to change. The rate confirmed in your reservation is the rate that applies to that rental.

4. Deposit And Payment

A $100 deposit is required to hold a vehicle, and we must have a credit card on file for the duration of the rental.

We accept Visa, Mastercard, American Express, Discover, and ATM or debit cards.

By providing a card, you authorize us to charge it for the rental, for any damage you are responsible for, and for any fee described in these terms.

5. Who May Drive

Only the driver listed on the rental contract may operate the vehicle. That driver must hold a valid driver’s license and carry personal auto insurance.

If your group intends to rotate drivers, every driver must be listed on the contract before the vehicle leaves the lot. Tell us at booking, not at pickup.

Allowing an unlisted person to drive is a breach of these terms and may void coverage. Do not do it.

6. How The Vehicle May Be Used

  • Out-of-state travel is allowed.
  • Canada is currently the only destination permitted outside the United States. Any other international travel is prohibited.
  • No one-way rentals. All vehicles must be returned to our lot in Nashville, Tennessee.
  • No pets, due to allergy concerns for later renters.
  • No smoking. 100% no. A $500 cleaning fee is charged if a vehicle is returned with the scent of cigarette smoke or marijuana.
  • Vehicles may not be sublet, re-rented, or used for any unlawful purpose.

7. Seating And Cargo

Each van has roughly a 4x4x5 area behind the seats for luggage and gear. One row of seats may be removed on request, and one row is the maximum. Seat removal must be arranged with us before pickup. Do not remove seats yourself.

8. Trailers

Enclosed trailers are available for an additional charge and are added to your rental contract. Trailers are fully insured, and the same care, damage, and return obligations that apply to a van apply to a trailer.

9. Maintenance During Long Rentals

On extended rentals and tours, the renter is responsible for oil changes every 10,000 miles. If you pass that mark during your rental, you are responsible for having the oil changed to prevent vehicle damage. Keep the receipt.

10. Damage And Responsibility

The renter is financially responsible for all damage to the vehicle during the rental period, regardless of fault, up to the extent permitted by law and subject to the signed rental contract.

Report any damage, accident, or incident to us as soon as it happens. Do not arrange repairs yourself.

11. Breakdowns And Roadside Assistance

All of our vehicles are fully insured and covered by AAA roadside assistance.

If something goes wrong, call us. Please do not attempt to fix issues, for your own safety. We will get you back on the road!

12. Cancellations And Changes

If you need to cancel for any reason, call or email us as soon as possible.

Cancellations made with less than 48 hours’ notice are charged the two-day minimum.

Date changes are handled case by case and depend on availability. Ask early.

13. Pickup And Return

All rentals begin and end at 915 6th Ave South, Nashville, TN 37203. There are typically one or two spaces at the lot where you can leave your own vehicle while you have the rental out. Space is not guaranteed, and we are not responsible for vehicles left at the lot.

Vehicles are cleaned before every rental and are expected back in comparable condition.

14. Website Use

The content on musiccitytouringvans.com, including text, photographs, and our name and logo, belongs to Music City Touring Vans LLC and may not be copied or reused without our permission.

We work to keep rates, specifications, and availability on the site accurate, but errors happen. Nothing on the website is a binding offer. Your rental is governed by your confirmed reservation and the signed rental contract.

15. Limitation Of Liability

To the fullest extent permitted by Tennessee law, Music City Touring Vans LLC is not liable for indirect, incidental, or consequential losses arising from a rental or from use of this website. This includes missed events, cancelled dates, lost income, and travel or accommodation costs incurred because of a vehicle problem or a booking change.

Nothing in these terms limits any liability that cannot be limited by law.

16. Privacy

How we handle the information you give us is set out in our privacy policy.

17. Governing Law

These terms are governed by the laws of the State of Tennessee, and any dispute will be handled in the courts of Davidson County, Tennessee.

18. Changes To These Terms

We may update these terms from time to time. The version in effect on the date your reservation is confirmed applies to that rental. The effective date at the top of this page shows when it was last updated.

19. Questions

If any of this is unclear, ask before you book. We would rather explain a policy up front than argue about it later.
